A client portal belongs where the customer returns
A client portal makes sense when a customer returns to an unfinished process: an order, document, subscription, application or service. If registration reveals only a profile name, the portal adds a password and support burden without creating value.
A repeated action establishes the need
A useful portal shortens a route that otherwise runs through email, calls and spreadsheets. A client can check status, repeat an order, submit data, receive a document or manage a service without waiting for an employee.
Define action frequency, participants and current losses first. A protected link or form may be enough; a full account is justified when history and persistent identity matter.
The first version centres on one outcome
A portal MVP may contain sign-in, an object list, a record, one primary action and outcome notification. Profiles, settings, roles and elaborate reporting follow actual need.
The scenario must complete. If a client uploads a document, they need validation, status and the next step, while the employee receives it in the operational system.
Authentication should not become the obstacle
Passwords, one-time codes or company identity providers follow audience and risk. Plan account recovery, contact changes, session termination and brute-force protection.
A technically successful login may still fail the user. Test mobile keyboards, code delivery, expiry and clear errors without exposing another person’s account.
Permissions matter more than a polished profile
A client must only see their own organisations, orders and documents. Accounts with several employees need roles and rules for invitation, removal and ownership transfer.
Every data request checks permission on the server. A hidden interface button cannot protect an API route or replace a log of sensitive actions.
A portal changes the internal process
The status shown to a client needs to match actual work. If employees continue to manage the process in a spreadsheet, the portal quickly becomes a display of stale data.
Agree on the source of truth, update ownership and response to client messages before development. The interface makes internal discipline visible.
Measure the workload removed
Track self-service completion, time to outcome, support contacts and repeat use. Registrations without a completed scenario do not demonstrate value.
Within the Method, I propose a client portal after confirming a repeated relationship between customer and company. It becomes a workspace for trust rather than a mandatory section added for appearance.
